  1. 73rd Annual General Meeting

 

Enclosed please find the agenda of the AGM and minutes of the 72nd AGM (Appendix 1a & 1b). In case you are unable to attend the AGM, you may consider appointing a proxy by completing and returning the Letter of Proxy (Appendix 2) to the Council no later than 2:25 pm, November 3, 2020. Late returns of proxy forms and those submitted at the AGM will not be accepted.

 

In view of the epidemic situation of COVID-19, only pre-registered Official Representatives of Agency Members or their representatives with authorized proxies and invited guests can attend this year’s AGM. If the number of registered participants is more than the seating capacity of the Auditorium, we will arrange some participants to watch the AGM on a live stream in other function rooms.

 

  1. Election of the Executive Committee and Standing Committees (2020-2022)

 

The period for the nomination of candidates for the Election of the Executive Committee and Standing Committees for the term of 2020-2022 has been closed.

Life Members, Official Representatives of Agency Members with their names in the Membership Register as of November 3, 2020 and duly authorized proxies are requested to register at the reception counter and to collect the ballots from 2:25 pm. No ballots will be issued starting from 3:35 pm. Voting shall commence upon declaration of the opening of the AGM. The polling station will be closed at 3:45 pm.

 

Notices on change of Official Representatives must reach the Council in specified forms no later than 2:25 pm, November 3, 2020 so that newly appointed representatives will be eligible to vote in the Election on behalf of their agencies.

 

Among the five Committees, there are 5 eligible candidates in the election of Standing Committee on Policy Research and Advocacy (PRA), which is equal to the number of available seats of that committee. According to the 4.2.10 of “Election Guide” – “If the number of candidates in the election of a committee is less than or equal to the number of seats of that committee, all candidates shall be declared automatically elected upon endorsement from the Chairperson of the Election Committee. Under such circumstance, no election shall be conducted for the concerned committee.” Therefore, the Chairperson of the Election Committee will announce at the AGM that the candidates are automatically elected.

 

  1. Result of the Election of Specialized Committees (2020-2022)

 

The Election of Specialized Committees (2020-2022) has been completed. The result has been announced by email and published on the Council’s website. Please visit “What’s New” on the Council’s webpage at www.hkcss.org.hk for the lists of elected members of the Specialized Committees.

 

I would like to appeal for your support to the Council by attending the AGM, and exercising your voting right. Please confirm your attendance by returning the Reply Slip (Appendix 3) to the Council on or before November 3, 2020 by fax to 2864 2910, or by post to Membership Liaison and Service, 14/F, Duke of Windsor Social Service Building, 15 Hennessy Road, Wanchai, Hong Kong.
