Owing to the spread of the disease related to novel coronavirus in Hong Kong and to reduce the risk of infection, it is understood that most organisation would take the precautionary measures by maintaining limited service and suggesting employees to work from home. 為鑑於現時新型冠狀病毒疫情，為減少同工往返辦公室途中和在辦公室內工作時被病毒感染的機會，很多機構已實施「留家工作」。為維持機構的服務和運作，機構可利用各種雲端及通訊科技，以協助同工之間的協作和溝通，在家中繼續工作。 在團隊溝通上，大家可考慮各種即時通訊應用軟件(Instant Messaging)，如WhatsApp、Skype、Microsoft Teams等。這些軟件可以讓同工以文字、圖片和語音作即時溝通。機構若需要對同工發放訊息或工作安排，在緊急情況下可利用即時通訊應用軟件，可以更便捷和清楚地發放資料，作出應變。（這些軟件多數都有提供免費版本，其功能已相當整備。） 在此亦值得一提，需要多人通話(Conference Call)時，現時的智能電話多數都已經配備這功能。同工只需要在通話時按「添加通話」，駁通另一位同工的電話後，再按「合併通話」便可進行電話會議。 iPhone 的多人通話功能： Android 的多人通話功能： 請注意用以上方法通話需要使用大家的流動電話語音通話服務，在超出服務計劃的限額時，可能需要支付額外費用。另外，大家亦可使用WhatsApp群組上的「通話」進行多人語音或視像會議。同工可以在WhatsApp群組內，按右上角的「新增通話」鍵，再選擇你想進行通話/視像會議的同工，然後按「語音通話」或「視像會議」鍵便可。 又如同工需要在會議中作PowerPoint簡報或就著文件作討論，則需要利用網上會議(Virtual Meeting)軟件，如Zoom、Skype、Google Handouts等。這些軟件可讓多人以語音和視像作會議，大多配備「螢幕畫面分享」功能，與會者可以PowerPoint或其他多媒體作簡報，也可以文件(如Word、Excel、PDF)或網頁作討論和交流。各種網上會議軟件在參與人數和會議時間都可能有限制，大家可因應實際工作需要選用合適的工具。 「留家工作」的另一挑戰是如何共享檔案(File Sharing)。市面上已有很多雲端儲存和檔案共享服務，如OneDrive、Dropbox、Google Drive等，同工可以透過雲端，與機構內、或對外共享檔案；一些雲端服務甚至可以讓多人同時編輯同一個文件(包括Word、Excel、PowerPoint)，非常方便。 當然，機構在採納各式Home Office方案時，亦必需考慮資訊保安風險，以免因一時方便而洩漏機密或敏感資料。長遠考慮，機構可建構虛疑私人網絡(Virtual Private Network)或虛疑桌面(Virtual Desktop)等方案，全面實施「流動辦公室」，令工作更有彈性和效率。 機構如對以上內容有任何問題（採購、應用等等），歡迎致電 2922 9280或電郵 [email protected] 查詢和分享。 最後祝願大家都可以保持身體健康！！ ...
